WhatsApp Business app vs WhatsApp Business Platform

There are two different products, and the difference matters:

  • The WhatsApp Business app is the free app on your phone. It has quick replies and away messages, but it is designed for a person to use, not for automation.
  • The WhatsApp Business Platform (often called the WhatsApp Business API) is Meta's official way for software to send and receive WhatsApp messages. Proper chatbots are built on this.

Using unofficial tools that automate a normal WhatsApp account risks getting the number banned. A professional chatbot should always use the official platform, either directly through Meta or through an approved provider.

What a WhatsApp chatbot can do

Rules to plan for

The WhatsApp Business Platform has policies that shape how a chatbot behaves. The main ones to understand before building:

Business verification and a dedicated number

You will typically need a Meta Business account and a phone number dedicated to the platform. Plan time for verification.

The customer service window

When a customer messages you, you can reply freely for a limited window after their last message. Outside that window, businesses can only start conversations with pre-approved message templates. Your chatbot design has to respect this.

Opt-in

Customers must agree to receive messages from you. Sending unsolicited promotions is against WhatsApp's policies and the fastest way to get your number restricted.

Costs

Meta charges for certain types of messages, and its pricing model has changed over time. Check Meta's current pricing for Pakistan when planning your budget, and factor in hosting and any AI model usage costs.

How to launch a WhatsApp chatbot well

  1. Start with your top questions. Go through recent chats and list the questions that come up most.
  2. Write down the answers. Policies, prices and procedures need to be documented before a bot can use them.
  3. Design the handover first. Decide exactly when the bot passes a chat to a person, and who receives it.
  4. Connect only the systems you need. Order status or bookings are common first integrations.

  6. Review conversations weekly after launch and fix what the bot got wrong.

When is a WhatsApp chatbot worth it?

It is usually worth building when your team spends a large part of the day answering the same WhatsApp questions, when customers message outside working hours, or when slow replies are costing you sales. If you only get a handful of messages a day, the free WhatsApp Business app's quick replies may be enough for now.
